Report on the ECLAP Workshop: Stage Heritage at Your Fingertips, Ljubljana, 14 November 2012

The free workshop Stage heritage at your fingertips took place in Ljubljana, Slovenia on 14 November 2012.  In attendance were representatives from some of Slovenia's key institutions which hold performing arts digital collections, such as the National Theatre Museum of Slovenia, Sigledal, the National and University Library, Cankarjev dom Culture and Congress Centre, RTV Slovenia, Ljubljana Puppet Theatre, and the Slovenian People's Theatre Celje.

The fourth in the series of international events planned by the ECLAP – Connecting Stages. Best Practice Network, the workshop featured presentations about the ECLAP project and interactive tutorials on how to use the portal as well as reports and brainstorming sessions lead by the Working Groups on Best Practices for the Performing Arts on Education and Training Tools, IPR and Business Models, and Tools for Digital Libraries. A case study of the Slovenian performing arts portal SiGledal.org was presented by Samo M. Strelec, as a starting point for the discussion about local experiences with Best Practices in the dynamic field of digital collections for performing arts.
 
The workshop was organized by ECLAP consortium member MUZEUM Ljubljana in collaboration with the National Theatre Museum of Slovenia, the Research Center of the Slovenian Academy of Sciences and Arts (ZRC SAZU), and the support of the Ministry of Education, Science, Culture and Sport of the Republic of Slovenia. The workshop was held in conjunction with an internal meeting of the partners in the ECLAP Consortium which also took place in Ljubljana.
 
ECLAP, the European Collected Library of Artistic Performance, is the new online archive for all performing arts in Europe, co-funded through the ICT Policy Support Programme of the European Commission. For the first time, the collections of the most important European performing arts institutions and archives are available online through the ECLAP Portal, as well as through Europeana, the European digital library. ECLAP also provides innovative and unique solutions and tools to help performing arts institutions manage and make their collections accessible.

  • ECLAP An Experience in Using the Portal by Jana Wilcoxen
    • The presentation covers the different ways of discovering content on the portal, through links like Featured, Last Posted, Popular, Top Rated, through content of colleagues and groups, through search tools which include DeepSearch and Advanced Search methods in multiple languages. Once you have discovered content that you like you can assemble it in meaningful ways by creating Playlists and Collections.
  • ECLAP Experience in Using the Portal by Attila Szábo
    • The presentation covers the social features of the ECLAP portal, how to create your profile, notifications, homepage, connect to colleagues, share content using Social Networks such as Facebook, Twitter, etc., as well as how to embed content into websites and blogs.
  • ECLAP Overview of MyStoryPlayer, new features, 2012, Paolo Nesi
    • The MyStoryPlayer offers tremendous possibilities in making your own videos from the content on the portal. Here you can used annotated information to create complex analyses of performing arts content.
        
The second part of the workshop focused on Best Practices for Digital Collections in the Performing Arts, chaired by the leaders of the 3 ECLAP Working Groups who gave reports on: WG-A Education and Training, presented by Josefien Schuurman (University of Amsterdam, Netherlands); WG-B IPR and Business Models, presented by Lotte Belice Baltussen (Sound and Vision, Amsterdam), and WG-C Tools for Digital Libraries, presented by Emanuele Bellini (FRD, Italy). Before the participants split into smaller groups for brainstorming, Samo M. Strelec presented a case study of the Slovenian theatre portal, Sigledal.org.

  • Working Group A: Objectives and Best Practices in the Performing Arts Education, Josefien Schuurman
    • In her presentation Josefien Schuurman asks: What is shared throughout performing arts education in Europe and abroad? and provides a comprehensive classification of the types of educational objectives and their corresponding methods in the performing arts. Examples are given of 3 Best Practices which offer digital platforms for performing arts education and a model is proposed for structuring their analysis. As the Working Group seeks input on other Best Practices, Schuurman asked participants in the following brainstorming session to help outline priorities and discuss their needs in the field of performing arts education.

  • Lotte Belice Baltussen simplifies the process of clearing rights by breaking down the work into 3 important steps. No matter where your institution stands in the process of clearing rights, this method is sure to make it much easier to get through it.   • Working Group C: Best Practices on Performing Arts Digital Library, Emanuele Bellini
    • This WG aims to bring together the views of the performing arts library community from a cross-domain perspective including museums, archives, industry catalogues and other collections; Motivate and enable the community to be aware on content integration,
      user generated content, metadata, information retrieval, interoperability and digital
      library developments; Keep the community informed on technological, legal and standardization developments; and Provide Best Practices regarding performing art digital library tools accessible as a practical future agenda of performing arts libraries.

Enlarging the ECLAP network

In addition to the aims of disseminating knowledge and skills about the portal and engaging the local community in discussions about Best Practices, another objective of the workshop was for networking purposes. Some of the workshop attendees have already shared some of their collections with Muzeum Ljubljana and thus portions of their collections are already visible on ECLAP. But there is always room for more channels and institutions who wish to share their collections and add to the rich content growing daily on www.eclap.eu.
